Our client, a reputable company within the shipping industry is looking for a highly efficient and proactive EXECUTIVE ASSISTANT to assist with the administrative operations of the company to an Executive.

ROLE PROFILE
The successful candidate will be responsible for providing administrative and communications support to the Managing Director of the West Africa office while establishing working relationships with the leadership team and other stakeholders of the office, and contributing to the overall efficiency of the organisation. He or she will also perform the following duties as well:
DUTIES/RESPONSIBILITIES
Provide administrative assistance such as writing and editing e-mails, drafting memos and preparing communications on behalf of the Executive and HR
Prepare and maintain comprehensive and accurate records, including minutes of meetings
Organize meetings, including scheduling, sending reminders, and organizing catering when necessary
Answer phone calls politely and professionally and welcome visitors and identify the purpose of their visit before directing them to the appropriate department
Manage internal and external communications
Manage the Executive’s calendar, including making appointments, travel arrangements and prioritizing the most sensitive matters
Develop and implement a monthly communication plan that includes social media content creation.
Research and write content for newsletters and the website
Acquire and maintain a detailed knowledge of the company’s policies, principles, and strategies, and keep up to date with relevant developments.
Arrange, plan, and coordinate internal and external events, including employee engagement events.
Adhere to the company’s style guide, ensuring that we produce a high-quality and error-free copy.
Work with internal stakeholders such as the Managing Director and sales and (Human Resource Department to brainstorm content ideas, in line with the company’s strategy and in support of various initiatives.


Working Experience: 1 - 3 Years

Education: First Degree
Requirements
  • EDUCATION/EXPERIENCE
  • A minimum degree in Public Relations, International Relations, Journalism, Business Administration, or a related field
  • Multilingualism is an asset (French/ Portuguese speaking candidates are preferred)
  • A minimum of 2-3 years’ experience as a Communications Specialist and a personal assistantREQUIREMENTS
  • Must be innovative and attentive to detail
  • Must have good verbal and written communication skills
  • Must have strong organizational skills and the ability to multitask
  • Possess good decision-making and problem-solving skills
  • Must be proactive and have self-direction
  • Possess strong interpersonal skills
  • Good time management skills and ability to meet deadlines
  • Must be proficient in Microsoft Office
  • Experience in social media management
